Collections

All the content your team adds to a workspace is automatically viewable and searchable in the Home tab. However, it’s very common for teams to want to share just some of those assets with a team member or an external collaborator. The Collections section is designed specifically for that.

You can create a new Collection from the Collections tab, or by selecting a few assets and clicking “Add to Collection”, and then typing the name of the new Collection.

You can also add a description to each Collection.

Since Collections are our main way to collaborate, we want to make sure it’s easy to create them and keep them up to date. Say hello to Collection Automation!

Collection Automation lets you define a tag, or a set of tags, and apply them to a Collection.

Let’s say, for example, we’re running a clothing brand, and organize our clothes by item type (shirts, pants) and color. At some point, we decide to run a sale for “Black Dresses”, and want to share all of our “Black Dresses”.

While creating a new Collection, we can turn on the “Automation” button, and select to include all assets that are tagged “Dress” AND “Black”. You can check “Also add existing assets” to automatically add existing assets that meet the criteria.

While on, Collection Automation will make sure that any newly tagged assets that meet the criteria will be added to the Collection.

You can apply “AND” or “OR” logic to automations.

Your Collections are a window to your brand, and should look exactly the way you want it to. Use Collection Settings to change the title, description, or cover image of your Collection.

We recommend using a cover image with at least a 1440 x 350 resolution, and preferably 2560 x 620. We also recommend optimizing the image with any image optimizer (e.g. TinyJPG).

Open a Collection in full-screen slideshow to run through it one asset at a time - useful for reviewing a shoot with a client, or putting work on a screen in the room without exporting anything first.

Collections can be opened to anyone with the link, and embedded in other websites. See Public galleries for how that works.

If you're sharing event photos with the people in them, “Find My Photo” links let guests find their own photos by taking a selfie, rather than scrolling through hundreds.

By default, all Collections are private, meaning that only the person who opened them can access them. However, you can expose a Collection to the entire workspace team, or to individual users.

Workspace permissions:

Grant automatic access to all workspace users by changing the “Everyone at workspace” permissions to “Have access”. This will apply dynamically as you add or remove users from the workspace.

Individual permissions:

You can also grant individual access to users from your team or outside of it, by adding their email. Permissions for Collections are similar to workspace Collections. See full permissions here.
